Staff Subject Access Request

If you receive a Subject Access Request (SAR) for a staff member, you can collate all the information needed from reporting options on your ScholarPack site.

Please note:

For student SARs, please follow the Student Subject Access Request Procedure and contact your relevant support team.

 

General Information - Custom Staff Report

Reporting > Reports > green staff tab > Custom Report

This report allows you to collate a lot of information in one place, from personal details, to basic contract information.

Ensure all tickboxes in the filter box are ticked, as well as ticking to show inactive staff if their profile has been marked as inactive.

The report updates automatically, adding columns to the report as you tick the boxes. Once all the boxes are ticked, you can filter for the particular staff member by typing their surname (and if necessary fist name) in the white filter box directly below the column headers. Press enter to apply the filter.

Once you have the report filtered to the necessary staff member, you can export this via the yellow icons in the top right hand corner of your screen.

 

Attendance Information - Absence Reports

Reporting > Reports > green staff tab > Absence / Absence Monthly Totals Year

Absence

This report will pull through all recorded absence information.

Backdate the report as far back as needed, and select Staff for the Attendance by option.

Include inactive staff members if needed and press Choose.

When the report populates, click the square icon next to the needed staff member in the Summary column. This will bring up an individual summary that can be exported via the yellow icons in the top right of the pop-up.

Absence Monthly Totals

This report acts as a summary breakdown by month and term for the selected academic year. You can run it by academic year, and export via the yellow icons. Once exported, you can separate the data as needed to collate the data for the relevant staff member.

Contract Information - Contract Report

Reporting > Reports > green staff tab > Contracts report

This report automatically populates when you click into it. Click to show expired contracts, and to show inactive staff members if necessary.

Filter for the particular staff member by typing their surname (and if necessary fist name) in the white filter box directly below the column headers. Press enter to apply the filter.

Once filtered, you can export via the yellow icons in the top right hand corner of your screen.

Training Information - Training and Qualification Reports

Reporting > Reports > green staff tab > Training / Qualification reports

The training report pulls through all the training logged on a staff member's profile. You can filter the report by name, and export via the yellow icons.

The qualifications report pulls through all the qualifications logged on a staff member's profile. You can filter the report by name, and export via the yellow icons.

 

Medical Information - First Aid, Dietary Requirements and Medical Reports

 

Medical information and first aid incidents are included in the Staff Custom report, but these reports will provide more detail if you require it:

Head to the staff profile, and click the PDF Icon next to their name. This will automatically generate the form populated with the data from the staff member's profile.
