Using Data Digger for creating Groups of students

In Reporting > Data Digger you can identify groups of students with the same attributes, or create specific groups of students for reporting purposes.

Setting up Dynamic Groups

There is the option to create Dynamic Groups, where membership of the group will automatically be updated if new students meet the criteria, and students will leave the group if no longer on roll, or not meeting the criteria.

Select the attribute from the dropdown by Number 1 (e.g. Pupil Premium in the example below). A number will appear in the blue circle, which will be the total number of students who meet the criteria of the selected attribute.

Click on the number in the circle, and you will see a table of student names with their year and form. You are given the percentage this cohort represents within the school population.  Here you can print off this list or save as PDF. You can also give the Group a name in the box and click Create Dynamic Group to save. Clicking on a student name in this table will take you to their profile.

Once you have created a Dynamic Group you can monitor their attendance and academic performance if required, they will appear under the Group dropdown in reports.

Data Digger allows you to select up to four different attributes and will then generate a Venn diagram of pupils with the attributes of your choosing. To enter a second criteria, select it from the dropdown box by Number 2. Repeat if more attributes are required.

In the example below, Pupil Premium and Attendance Above 95% have been selected. The total number of students in the school with Attendance above 95% is 181. The number of students meeting both criteria set (Pupil Premium and Attendance over 95%) is 40. Of the Pupil Premium students 2 do not meet the criteria. There are 141 students in school with Attendance above 95% who are not Pupil Premium. Click on any of the numbers in the Venn diagram to provide the list of studens which fall into that group.

Dynamic Groups can be selected in most Reports on ScholarPack. All Dynamic Groups also appear in Admin > Comms, enabling you to contact these specific groups by SMS, Email and Letter. 

If you wish to Delete a Dynamic Group, click on Manage Dynamic Groups at the bottom of the Data Digger page.

A table will apear showing all the Dynamic Groups on your system, with the fields selected in Config 1-4.

Click on Edit next to the chosen Dynamic Group, then Delete.

Setting up Static Groups

If you wish to create a group of students for reporting purposes who are not linked by a particular criteria, you can create a Static Group. Student membership of the group will need to be manually entered and updated.

At the base of the Data Digger page, click on Manage Static Groups.

Select Add New and insert a Group Name.

Once you have saved this (via Insert) you are shown a table with the current Static Groups on your system.

Here, you can Edit the name of the group, or add students by clicking on Add.

Once you have selected Add New, a dropdown appears for you to choose the individual student members of the group.

As each student is selected, they appear in a list below. To delete any group members, click on Edit then Delete.

Static Groups, as with Dynamic Groups, can be selected in most reports under the Group dropdown.

If you wish to send Comms messages to members of a Static Group, you will first need to convert the group into a Dynamic Group.

Select Static Group from the first dropdown in Data Digger, then choose the Static Group you wish to send messages to. Click on the number in the circle and give this Dynamic Group a name. 

You will then find the new Dynamic Group in Comms for sending messages, under Dynamic Groups.

Note: The Static Group will still need to be manually altered if membership changes, but the associated Dynamic Group will update accordingly.
