100% List

What does the report display?

The 100% attendance list will give you a list of students who have had full attendance. It will also show those students who have 100% attendance including any selected absence code(s).  By default it will include those students who have an L code (late before registers close).  

How do I filter this report?

When you access this report you will have the following filters; year, form, dynamic and static groups. If you do not choose a group, by default this will show all the students in the school.

Next you will need to select a period to report on using the date pickers at the top and which of the attendance codes you are happy to include in the report.  You will have the option to include current,former and future students if necessary.

How do I order, filter and remove data?

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

To filter this data further, each column header will have a text entry field where you can produce results based on your query, for text fields you can enter a string which will return all the data relating to that value. If the the field is an integer or a date range you are able to enter the queries, equal to (=), greater than (>) or less than (<).

How do I export this data?

The information displayed can be exported as either a Word, Excel or PDF document.  You can also display the report as either landscape or portrait.

Ad Hoc Report

 

The Ad Hoc report is produced in response to information gathered during form registration. It utilises the Ad Hoc columns and lists students who have been recorded as attending after school activities or clubs. Setting up the Ad Hoc columns within the register is detailed in Ad Hoc Register



All the clubs or activities for the date shown would be listed and a students attendance at that activity can be deleted if necessary. When printed out, the signature block within the report can be used to record attendance at the activity or club specified.

All Codes by Group 

 

What does the report display?

This report summarises by groups, year, form, dynamic and static groups the attendance codes recorded between the specified date range.  You can display the data as either a number of occurrences of a code or a percentage. 

How do I filter this report?

When you access this report you will have the following filters; student type (All, Current, Former, Future), year, group (Dynamic or Static) and house. You can also split the results by year and form as well as listing any dynamic or static groups within the year/form selected. 

Next you will need to select a period to report on using the date pickers whilst you also have the option to exclude students who are under 5 years old on a specified date.

 

Once the report has been generated you can switch between count and percentage by using the radio button.

How do I order, filter and remove data?

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

To filter this data further each column header will have a text entry field where you can produce results based on your requirements, for text fields you can enter filters which will return all the data relating to that value. If the the field is a whole number or a date range you are able to enter the options, equal to (=), greater than (>), or less than (<).

What does the report display?

This report will show you the students within a count of each attendance code between a date range. 

How do I filter this report?

Choose the year group or form that you would like to report on using the drop down box. You will also have to choose a date range to filter your attendance code, by default the date range will always be from the start of the academic year until the present day. You will also have the option to include current, former and future students.

 

How do I order, filter and remove data?

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

Attendance Audit

 

What does the report display?

This report will show when an attendance code has been changed and by whom. 

How do I filter this data?

The first step is to select the year or form and the date range of interest.

The report will then show key information on changes to any attendance codes.

How do I export this data?

Exporting your data allows you to print, save, or further edit the information on screen. To do so, click this icon (in the top-right corner):

Attendance By House

 

What does the report display?

This report gives attendance details for each house between a specified date range. 

How do I filter this report?

Choose the date range as required. Each house will have their own attendance summary.

Attendance by Year/Form

What does the report display?

This is a report showing the percentage attendance figures for present including AEA, authorised absence and unauthorised absence for a given date range and groups. By default the date range is set to the start of the academic year to current date. 

How do I filter this data?

Once you have selected the date range you will get a report with details of attendance for each group. You will also have the option to include current,former and future students if necessary.

How do I order, remove and filter data?

This report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

To edit this report further, us the white text entry field to filter the data.

How do I export this data?

How do I export this data?

Only the information displayed on the screen will be exported. To export this information, click on the export icon at the top right of the page.

You will have the option to print the chart straight from ScholarPack or download the graph in PNG, JPEG, PDF or SVG vector format.

 

Attendance Comparisons

 

What does the report display?

This report provides a list comparing a selected year groups attendance data between 2 date ranges.  The report will show each date range, colour coded and allow comparisons, give the differences in the attendance periods and allow you to show only negative differences.  

How do I filter this report?

When you access this report you will have the following filters;

  • Year 
  • Date ranges for 2 periods of interest.

How do I order, remove and filter data?

This report will be produced in a tabular format displaying columns relating to the report title.  The data for each time period is coloured coded and a differences column shows in red.

How do I export this data?

The information displayed can be exported as either a Word, Excel or PDF document.  You can also display the report as either landscape or portrait.

Blank Student Register

 

What does the report display?

The blank student register will produce a register that can be filled in by the teaching staff.  The date range for the register is selectable and each day is is split into an AM/PM period.

How do I filter this report?

This report is filtered by date range and Year/Form. Select your date range and Year/Form you would like and click Choose. Please note you can select multiple Years/Forms by holding down 'Ctrl' on Windows or 'cmd' if using a Mac.

 

You will then be presented with a blank register for each form with blank spaces for both AM and PM registers for each student on every day of the week.

How do I export this data?

The information displayed can be exported as either a Word, Excel or PDF document. You can also display the report as either landscape or portrait.

Code Count

What does the report display?

This report allows you to identify the number of times an attendance code has arisen during a period of time for each student. An aggregate total will be produced at the bottom of the report indicating the amount of students that have been returned.

How do I filter this report?

When you access this report you will have the following filters; year, form, dynamic and static groups and the option to include current,former or future students. 

Next you will have to choose a date range to filter your attendance code, by default the date range will always be from the start of the academic year until the present day.

Next you will need to select the attendance code you would like the report to be based on, i.e (L) late. Click Choose to produce your report based on these filters.

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

Concerns By Day

What does the report display?

The report will show those students with an attendance figure below a selected level and the days of the week that it applies. It allows you to identify absence trends on a daily basis. The first stage is to select the percentage figure below which you are interested in tracking.

Concerns by Student

 

What does the report display?

This report highlights students who have either one unauthorised absence recorded in the last 3 days OR students who have outstanding unauthorised absences since the start of the year.

Within the Details column you have the option to see the a students absence history. This will give details of both authorised and Non authorised absence with the date and session recorded.

How do I order, filter and remove data?

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

To filter this data further, each column header will have a text entry field where you can produce results based on your query, for text fields you can enter a string which will return all the data relating to that value. The Show History will give more detail on a particular student.

Custom Attendance Report

 

What does the report display?

This report allows you to customise your attendance requirements by picking from the various options before generating the report.

How do I filter this report?

Before filtering your report please click choose your date range - by default the date range will be from the start of the academic year to the current date.

You can select from the following options:

Ethnicity
Groups
To include a particular year or years
To exclude particular absence codes

By holding down the 'ctrl' button on your keyboard you are able to make multiple choices from the same attribute. 

Other options available are to exclude attendance for children under 5 years old on a specified date, change the persistent absence threshold, include former students and only show sessions for students on roll for the complete period chosen.

Once you have selected your criteria and hit 'Choose' a table will appear with your list of chosen options.

A table will be displayed below showing the generated information.

Columns can be removed by clicking on the trash icon on the column header.

How do I export this data?

The information displayed can be exported as either a Word,Excel or PDF document. You can choose to display the report as either Landscape or Portrait.

Day of the Week Analysis

 

 

What does the report display?

This report displays students who have an absence recorded during a particular time period.  You can specify the absence codes you are interested in and by using the quick dates function, look at certain time periods. 

How do I filter this report?

Choose the year group or form group from the drop down and the date range of interest.  You can also add a specific student by using the 'Add Specific Students' function. You can also select the absence code or a selection of absence codes.

How do I order, filter and remove data?

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

To filter this data further, each column header will have a text entry field where you can produce results based on your query, for text fields you can enter a string which will return all students relating to that value. If the field is an integer or a date range you are able to enter the queries equal to (=), greater than (>), or less than (<).

You can remove students from the list by editing the remove column.

You also have the option to create a static group from the listed names and if you wish to anonymise the report you can use the Toggle Name to remove the student's name and replace it with the ScholarPack ID. The filters are hidden on initial production of the report however they can be shown by using the  

You can use the 'Toggle Names' button to remove the students name form the report and replace it will their Scholar ID.  You can also save the listed students as a static group for use in other reports.

Gaps in Register by Date

What does the report display?

This will show all students who are either missing attendance data or have N codes recorded.  It will show missing data from the start of the school year until the date the report is run.  

Gaps in Register:  No code recorded.

To find out where you have any gaps in you register, select the link to Gaps in Register by Date.  This will take you to a calendar display where dates where there are any gaps in the register will be highlighted with a red circle.

By clicking on the red circle you will be taken to a table that will show how many sessions (gaps) you have on that day and in which year group.

When you select ‘Fix Gaps’ you are taken to the manage Register area of ScholarPack where the year group and date are preselected and you can enter and save the appropriate registration code.

N Codes

Using the same calendar but this time with the slider set to N Codes, any instances where an N code has been recorded will be marked with a blue circle.

By clicking on the blue circle you will be taken to a table that will show how many sessions have an N code (No code) on that day and in which year group.  Selecting ‘Fix N Codes’ will take you to manage register where again the year and date are preselected and you can change the N code if you wish to something more meaningful. 

Note:  The dates that have a grey border are days where the school was shut to students.

Gaps in Register by Student

What does the report display?

This report will show all students who have periods of attendance to which no DfE code has been allocated.  

How do I filter this report?

The filters available when running this report are: 

  • Group (this includes Year groups, Key Stages, and all your Dynamic and Static groups) 
  • Forms (all form groups) 
  • Current Students
  • Former Students
  • Future Students

Note: the Group and Form filters may be applied simultaneously. 

An example is below:

Click on the date range for a student and you will be taken to the manage register area for the student selected and date range and you are then able to enter the appropriate attendance code.

Attendance Letters History

What does the report display?

Attendance letters can be created in ScholarPack based on specified criteria, for example pupils with above 98% attendance, or pupils with below 90% attendance. Students that have had attendance letters generated can be displayed on this report.

Attendance letters are created in ScholarPack by going to Admin>Students>Attendance Letters

How do I filter this report?

The filters available when running this report are:

  • Group (this includes year groups, key stages, and all of your dynamic and static groups). 
  • Forms (all form groups).
  • option to include former students (by default the report will only show students who are on roll).
  • option to show only future students (showing all students with a future start date).
  • option to show current students (showing all current students).
  • select your date range to show letters generated within selected dates.
  • Select attendance letter - choose from attendance letters that you have created.

Note: the Group and Form filters may be applied simultaneously.

Click Choose to produce your report based on these filters.

A report is generated showing all of the students meeting the chosen criteria.

 How do I order, remove and filter data?

  • Click the column headers to sort the data by that column (alphabetically, numerically or chronologically, according to the data). If holding Shift you may apply this function to further columns.
  • Click the bin icon (above column header) to delete a column.
  • Use the filter box (blank entry field below column header) to filter the data using specific criteria in that category. Click into a filter box then hover over it with your mouse for a full list of operators that can be used.

Historic Attendance Comparison

This report will display attendance data over the last three years. By default the report will show data for the whole school and students above statutory age, in addition you have the option to view the last 3 years worth of attendance data broken down into cohorts, years and ethnicities across the whole school.

Previous years data will use the same date range you have chosen for this year, please be aware that the attendance date range cannot be before the current year start and the end date cannot be after the current year end.

Please be advised that the group 'Statutory Age' includes all students who were 5 years old on or before the chosen end date.  

 

 

Individual Attendance Summary

 

This area allows you to generate individual student attendance reports by group. You can select within a specified date range by Group (including by year, key stage, dynamic or static group or any set intervention group) and also by Form. You can also include or exclude current, former and future students.  


You are then presented with individual student reports that can be printed off by choosing from the Word, Excel or PDF icon on the top right hand side.

Individual Session Summary

 

This report details by student and year and within a date range the number of possible attendance sessions together with data on a variety of absences recorded. You can also select either current, former or future students.The report can be printed in one of the 3 standard formats and the columns are sortable.

Late Pickups

What does the report display?

The Late Pickups report will list all those students who have been picked up late and the information has been recorded in the Register > Manage Registers.  It will list the student with the time they were picked up and any notes.  You can filter the report by date and group as required.

Lesson Absences

What does the report display?

This report displays the students who have been absent from a lesson. The report is set out in year order and includes first name, surname, year, form, subject, date, and period.

How do I order, filter and remove data?

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

To filter this data further, each column header will have a text entry field where you can produce results based on your query, for text fields you can enter a string which will return all students relating to that value. If the field is an integer or a date range you are able to enter the queries equal to (=), greater than (>), or less than (<).

You can remove students from the list by editing the remove column.

Official Register

 

What does the report display?

This report gives attendance details on a daily basis between a specific date range for a particular year, group, form or house. You can also split the data displayed by form and you have the option to list students contained within particular dynamic/static groups.  You are limited to a maximum of 31 days data at a time due to the size of the report.

How do I filter this report?

Choose the year, form or dynamic/static group that you would like to report on.  You can multi select any of the groups by holding the Ctrl key on your keyboard and you have the option of using the quick dates to populate the date pickers.  You will also have the option to include former and future students in the statistics by selecting.

Percentage Attendance Between

 

What does the report display?

This report allows you to show attendance data between specified percentages and date ranges. 

How do I filter this report?

Select the group (Year or Form), attendance percentage range, whether you wish to include former students and the date range.  You can also choose to exclude from the report students who are not of statutory school age (under 5 yrs). An example is below:

Periodic Persistent Absences 

What does the report display?

This report displays the students who have an attendance percentage below 90% by default (this can be altered down to 80% if needed) together with the students ethnicity, gender and attendance percentages.  

How do I filter this report?

When you access this report you will have the following filters; year, Key Stage,form, dynamic and static groups and the option to include former students (by default the report will only show students who are on roll). Each student who meets the percentage criteria set will be listed.  You will also have to select a date range to report on.  

Click Choose to produce your report based on these filters.

Persistent Absences

 

What does the report display?

This report displays either authorised or unauthorised attendance codes for each student and reports on which day and session this code was given. 

How do I filter this report?

When you access this report you will have the following filters; year, Key Stage,form, dynamic and static groups and the option to include former students (by default the report will only show students who are on roll). Each student who meets the percentage criteria set will have its own individual report.

You will also have to select a date range to report on, whether you want to report on authorised or unauthorised attendance codes and what attendance percentage you would like to view.

Click Choose to produce your report based on these filters.

Punctuality

 

What does the report display?

This report is a list of students between a specified date range that have had either 100% attendance and NO Lates or no Lates before/after register closed.  

How do I filter this report?

Next you will need to select a period to report on using the date pickers at the top and the criteria for the report form the drop down.

How do I order, filter and remove data?

The report will be produced in a tabular format displaying columns relating to the report title. Simply click on the column header to order the data or select the bin icon to remove the column.

To filter this data further, each column header will have a text entry field where you can produce results based on your query, for text fields you can enter a string which will return all the data relating to that value. If the the field is an integer or a date range you are able to enter the queries, equal to (=), greater than (>) or less than (<).

How do I export this data?

The information displayed can be exported as either a Word, Excel or PDF document.  You can also display the report as either landscape or portrait.

 

Additional information

Please note: Clicking on the student's name will take you to their profile. The star on the report identifies a 'favourite' report. Click the star to toggle yes or no.

Student Attendance Reports (Bulk)

What does the report display?

This report produces a PDF document showing the weekly attendance, daily attendance statistics and overall statistics for students within a year and form group. You are able to select the period in question and the year and of interest.

How do I filter this report?

Once the form has been selected, you have the option to selected individual students or the entire form if needed.  Select the Generate PDF to download the document.

Once the report has been generated, each student will appear in alphabetical order with details of their attendance figures.

Students Present

 

 

What does the report display?

This report displays the number of students present on each day between the date range selected in each year group.  It will also summarise the number of students present in each key stage. 

How do I filter this report?

The filters available when running this report are:

  • option to Include former students (by default the report will only show students who are on roll)
  • option to Show only future students (showing all students with a future start date)
  • option to Show current students (showing all current students)
  • select your date range (only students with an entry date within your chosen date range will be shown)

Click Choose to produce your report based on these filters. 

How do I export this data?

Exporting your data allows you to print, save, or further edit the information on screen. To do so, click this icon (in the top-right corner):

 Unauthorised Absences

What does the report display?

This report produces a list of all students with unauthorised Absences recorded in a specified date range.

How do I filter this report?

The filters available when running this report are:

  • option to Include former students (by default the report will only show students who are on roll)

  • option to Show current students (showing all current students)
  • select your date range (only students with an entry date within your chosen date range will be shown)

 Whole School Stats

The whole school statistics report displays a breakdown of the schools attendance statistics during a period. You have the additional option to break down your attendance data by each key stage or split by infants and juniors.

The report will display two columns, one that shows your attendance data based on students who are on roll and another that shows your attendance data including off rolled students.

Additional Information

This report will not include students who are flagged as guest students. The number of students who are on roll is determined by their entry date, not their attendance.

Early Years Foundation Stage includes students who are in reception and below.

Key Stage 1 includes students who are in years 1 and 2.

Key Stage 2 include students who are in years 3, 4, 5 and 6.

Infants includes students who are in year 2 and below.

Juniors includes students who are in year 3, 4, 5 and 6.

Please note: this report has replaced the previous version of the whole school statistics report (see previous layout below).

How do I export this data?

Only the information displayed on the screen will be exported. To export this information, click on the export icon at the top right of the page; DOC, XLS or PDF.

 

You will also have the option to choose if the information is displayed in landscape or portrait format (portrait format will be displayed by default when exporting).
