Staff photos can be added to ScholarPack so they show in each staff members profile and on some reports. This can be done either in bulk for multiple staff members, or for individual staff members via their profile.
- To be able to get to this menu item, you’ll need to have the Senior Management Team, Human Resources, or Admin role.
- To make changes to a user's photo, you'll also need the System Admin role.

Adding photos
Upload in Bulk
You can bulk upload staff photos by going to Admin > Personnel > Bulk Photo Uploader
The Bulk Photo Uploader enables you to upload photos for multiple staff members simultaneously.
All photos must be labelled with the staff member's unique ScholarID or their National Insurance number, and be in .jpg or .png format.
This information will be displayed on the screen as below:
Click the 'Select' button, choose your photo file and then click Open.
After that click on 'Upload Photos' button.
Photographs will be populated on the staff member's profile area in Admin>Personnel>Staff.
You can also check they have successfully uploaded by running the Staff Photo Report.
You can obtain a staff report to provide your photographer with the staff names and ID number details at Reporting > Reports > Staff (tab) >Custom Report.
Upload to Individual Staff Members
Find their staff profile via Admin > Personnel > Staff
Under where a photo would show, click 'Add Photo'
Click Choose File to locate the photo on your computer then press Insert
Remove a Staff Photo
If you have these roles please go to Admin > Personnel > Staff > find the member of staff you wish to remove the photo from and at the bottom of the photo you should see a red cross, click this to remove the photo.
Fixing issues with photos
Error when Uploading Staff Photo
If you receive an error when trying to upload a staff photo, It may be that you are uploading a file in an invalid file type.
If so try opening the file in an image manipulator like Microsoft Paint and save it as a .png or .jpg file, then re-upload.
If the error persists please contact your Support Team:
- If your school is supported by ScholarPack directly, click the 'Contact Us' button in the top right of the Help Centre
- If your school uses a Support Partner, please contact them. Click their name in the top right of your ScholarPack above the search box, for their contact details.
