What Happens During My Data Migration?

Migration of your data into ScholarPack is important and will be handled with the upmost safety and security. Note: For migration troubleshooting please click HERE or go to the bottom of this article. 

 

You will also find a blank copy of the ScholarPack Migration agreement attached to the bottom of this article if you need to check what this contained. 

 

Please select what MIS you are migrating to us from using the options below: 

 

SIMS

What does my migration look like? 

You will have booked your migration date using the booking system sent to you via email, once the date you selected has come, a member of the ScholarPack data team will call you at the arranged time and start the process of extracting your data via TeamViewer. 

What is my migration agreement? 

Please see the attached document titled 'ScholarPack_Migration_Agreement' at the bottom of this support article.

What is TeamViewer? 

TeamViewer is remote access and remote control computer software, allowing maintenance of computers and other devices. For more information, please see the TeamViewer website HERE.

What happens next?

Once your data extraction is complete, the ScholarPack data team will call you back to notify you of this and advise of the next steps. 

What does ScholarPack do with my data after my migration? 

Data is extracted from SIMs and imported into your ScholarPack database, data is not held in any other area outside of the secure ScholarPack data servers. 

 

RM Integris

What does my migration look like? 

You will have booked your migration date using the booking system sent to you via email, once the date you selected has come, a member of the ScholarPack data team will use the RM Integris log in credentials you have provided to access the platform and complete your data extraction. The data team may contact you if they experience any issues with this process.

How do I send log in credentials to ScholarPack?

These are sent using LastPass, please see the documentation article HERE

What is LastPass?

LastPass is a password manager that stores encrypted passwords online. For more information, see the LastPass website HERE

What happens next? 

Once the data team has successfully extracted your data, they will import this data to your new ScholarPack MIS. You will be given the full details on how to access this during your pre-booked training session.   

 

Other MIS

What does my migration look like?

You will have booked your migration date using the booking system sent to you via email, once the date you selected has come, a member of the ScholarPack data team will import the completed pro formas and (if applicable) CTFs that you provided into your ScholarPack platform. 

How do I provide you with my data? 

You will be asked to complete a number of pro formas with your data, and export CTFs from your previous MIS if possible, you will then provide these to the data team and they will import them into ScholarPack. For further information on this, please see the next question.

How do I export a CTF from my previous MIS?

Please speak to the support team or check documentation for your previous MIS. 

 

No Previous MIS

What does my migration look like? 

You will have booked your migration date using the booking system sent to you via email, once the date you selected has come, a member of the ScholarPack data team will import the completed pro formas that you provided into your ScholarPack platform. 

How do I provide you with my data? 

You will be asked to complete a number of pro formas with your data, you will then provide these to us and we will import them into ScholarPack. For further information on this, please see the next question.

Troubleshooting

Why are some of my staff missing?

If the staff member did not have an NI Number present on their profile in your previous MIS they they will not migrate. 

Why are some of my staff absences missing? 

If the staff absence did not have both a 'Start Date' and 'End Date' entered then this will not migrate. 

How do I find my data afterwards?

Your data can be found throughout ScholarPack, however, for a detailed guide on the areas you can locate each piece of migrated data, please use the guide HERE

If there is data missing and it should be there, what do I do?

Please contact your support team; this will either be ScholarPack or a 3rd party, depending on your school. If you are unsure who your support team are, please go to the 'Support' option located at the top right of your ScholarPack dashboard. If you receive your support from ScholarPack and it is within the first 2 weeks of you going live, you can also contact the Onboarding Team at onboarding@scholarpack.com
