User Roles Guide

On ScholarPack there are a number of user roles which allow different levels of access. Below are more details of each user role.


NOTE

All these roles can be combined except for the Teaching Assistant (TA) and Higher Level Teaching Assistant (HLTA).

 

High access roles

Admin

  • This is for the senior administrator or users who need access to all areas within ScholarPack. 
  • Areas available are: Home (Dashboard), Workspace, Reporting, Register and Admin, Remote Learning, manage FSM, reporting on Housepoints and conduct referrals, importing assessment marks and recording register notes.
  • This role will allow the user to access and edit all elements of the administration process.  
  • To view staff contracts and absence information you will also need the HR role.
  • For the Parents App: You will need both Admin and Parents App Inbox to view the inbox. 
    - Once these have been selected, Parents App Configuration and/or Parents App Management are available for selection.
    - Each will give you access to the appropriate tab in the Parents App area (for more information, scroll to the base of this article).
    - To create linkup codes in bulk when first setting up the Parents App, you may also require Comms User. 

Senior Management Team (SMT)

  • This is for staff who are part of the Senior Management Team and who need access to all areas of the software.   
  • Areas available are: Home (Dashboard), Remote Learning, Workspace, Reporting, Register and Admin.
  • In particular, this user can access Custom Assessment in Workspace, manage FSM, export CTFs, report on Housepoints, report on conduct referrals,  import assessment marks and record register notes.

 

System Admin

  • This role requires the Admin user role.
  • This role allows the user to create logons and change passwords for all users.
  • We recommend having at least 2 staff members with this role

 

Reduced access roles

Junior Admin                 

  • The user will have access to registration (via Register > Manage Register), Comms (via Admin), Meals (via Admin), Bulletin (via Admin) and class setup (via Admin), report on Housepoints and report on conduct referrals.  
  • Areas available are: Home (Dashboard), Reporting, Register and Admin(with limited areas).
  • This role will not allow the user to edit student data or view any staff data.

 

Students Admin

  • The user will have access to student data, allowing them to edit this information as well as being able to import/export CTFs, set student targets, manage FSM, manage siblings, report on Housepoints, report on conduct referrals, record register notes etc.
  • Areas available are: Home (Dashboard), Workspace, Reporting and Admin (which directs to the student area only), Remote Learning
  • The role will not allow you to view or edit any staff data.

 

Head of Department or Head of Year

  • This role is designed for the Head of Department (HOD) of Head of Year (HOY).
  • Areas available are: Home, Workspace, Reporting and Dashboard - not Register or Admin.
  • They will also be able to view but not edit student data including reporting on Housepoints and conduct referrals, aside from managing FSM, exporting CTFs and import assessment marks.

 

Human Resources (HR)

  • This role allows the user to edit staff information. It will allow a user to view contracts and absence information and all the staff reports. 
  • Areas available are: Home (Dashboard), Reporting (only staff reports) and Admin (which directs to the personnel area only). Not My Subjects, Workspace or Register.

 

SENCO

  • This role is designed for the SENCO within the school.
  • Areas available are: Home (Dashboard), Workspace and Reporting. Not My Subjects, Register or Admin.
  • This role will allow the user to view, edit and create support data within a student's personal profile on the support tab including IEP's (Individual Educational Plans) and SEN provision,  report on Housepoints and report on conduct referrals.

 

Teacher

  • This is for class teachers. They will be able to view a student's profile, take class registers, input assessment data and report on conduct referrals.
  • Areas available are: Home (Dashboard), My Subjects, Workspace and Reporting. Not Register or Admin.

 

Restricted roles

Teaching Assistant

This user role cannot be used in conjunction with any other user role. They can be given to multiple staff members.

This role does not have access to student profiles.

  • Access to Dashboard
  • Teacher Registers (Home > Register)

Higher Level Teaching Assistant

This user role cannot be used in conjunction with any other user role. They can be given to multiple staff members.

  • Access to Dashboard
  • Teacher Registers (Home > Register)
  • Workspace > Interventions
  • Simple Assessment Markbook (My Subjects > Simple Assessment Markbook)

NOTE

If adding either of these roles to a staff member who has an existing user role, it will remove other roles and only save the Teaching Assistant or Higher Level Teaching Assistant role, thus greatly restricting their access on ScholarPack.

When selecting one of these roles a pop-up will appear which alerts you that you will lose all other roles and only save the TA or HLTA user role.

Please click cancel if you need your additional user roles.

 

Restricted Access for Supply Teachers

If you require a very restricted login to ScholarPack, where just registers can be taken but no student or staff data can be viewed, there is the Supply Login, which is managed in a different area: Restricted Access User Role


Add-on roles

The following roles are additional roles that will allow access to specific areas of the software and are allocated in addition to a main role.

Comms User

  • This role is for users who need access to the comms area without having access to the admin area.
  • Areas available are: Home (Dashboard), Workspace, Reporting and Comms (via Admin). Not My Subjects, Register or Admin.

  • This role will not allow you to access Home > Registers.

Central Register Editor

  • This role requires the Admin user role.
  • This will allow an admin user to view and edit the Central Register in Admin > Personnel > Central Register.

Central Register Viewer

  • This role requires the Admin user role.
  • This will allow an admin user to view but not edit the Central Register in Admin > Personnel > Central Register.

Child Protection Officer (CPO)

  • This role requires a role with access to the student profile.
  • The CPO role will allow the user to edit and view the Confidential tab of the student profile - no other roles enable this.

Tutor

  • The Tutor role grants those with the Teacher role the ability to create and edit IEPs for their students.

Parents App Inbox

  • This role requires the Admin user role (or SMT).
  • This role allows the user to view the Parents App inbox (messages and change requests)

Parents App Access Management

  • This role requires the Admin user role (or SMT) as well as Parents App Inbox
  • This role allows the user to view the Manage Access tab. Individual linkup codes can be created here as well as revoking app access. Student contacts can be viewed here with students visible to them on the app. Individual settings can be changed in this area.

Parents App Configuration

  • This role requires the Admin user role (or Senior Management Team) as well as Parents App Inbox
  • This role allows the user to access the App Config tab and create default settings for the app.
