How Does Onboarding work?
Each week, you'll get an email from our Onboarding Team with information, guidance and resources to help you get ready for your move to ScholarPack.
Your onboarding is an 8 week journey split into two parts, Pre Launch (weeks 1-4) and Post Launch (weeks 5-8). The Pre Launch phase is all about getting prepared and ready to go live with your new ScholarPack MIS. Once you get access to your ScholarPack site in Week 5, the onboarding team will be with you for a few more weeks to help guide you with getting up and running.
This week-by-week guide below will give you an overview of what's to come in Weeks 1-4, the Pre Launch phase of your Onboarding. This guide will contain all the key information that you need to successfully prepare for your move to ScholarPack. Be sure to also check out our guide on what happens in the Post Launch phase of your onboarding journey (weeks 5 to 8).
Week 1
This week, as part of our weekly guidance, you'll receive your first email from the ScholarPack Onboarding Team, saying hello, providing your migration time slot, and giving you with a bit more information about your move to ScholarPack and what to get started on!
Getting your team ready for the move to ScholarPack:
Change is exciting, but it can also be daunting! Your school team might be anxious about the move, so it’s crucial to let them know what to expect; check out our guidance HERE.
Week 2
Last week, you should have started preparing for your move! Now you're in Week 2, here are some other areas to look at:
1. Clean up that data!
Clean data is vital to your system working at its best, therefore we have given you some helpful tips on what to look out for:
- Unwanted Spaces- Please endeavour to remove any spaces or tabs in your data where they are not supposed to be, i.e breaking up national insurance numbers or after names.

Correct Formatting - All fields in your current system should have only the data that they are intended for and in the correct format. For example, telephone number fields should have only the telephone
number without any notes or text. - Remove Duplicates - You will need to ensure that there are no duplicate records on your system as these will be carried across during the migration process.
It is crucial that at this stage, you make sure all students have a UPN assigned and that all staff members have a NI number. These may be temporary values, however without them the respective people and their data will not be migrated.
2. Contact any partner apps
Do you have any third-party applications that you would like to link to your ScholarPack MIS?
Get in touch with them to let them know you are moving to ScholarPack and they will run through any next steps you need to take. Depending on the system, they will have different requirements on what is needed to integrate, therefore, to assist, we have created an article HERE of the most frequently used providers and how to integrate these with your ScholarPack.
Week 3
This week is really about preparing for your migration next week. You will continue working on checking and cleansing your data in your current MIS and share useful resources to get your team ready for your ScholarPack go live day!
1. Prepare for your migration - Download TeamViewer
TeamViewer is a remote access and remote control computer software, allowing maintenance
of computers and other devices - Our migration team will use this to support you accessing your data on migration day - For more information and to download this ready for your migration, please see the TeamViewer website HERE.
2. Continue with your Data Checks
The better the data you put into ScholarPack, the easier it'll be to get started after the migration; Spend some time this week working on the data cleansing in your current MIS. You'll need to get this done before your migration date.

Week 4
Now in week 4 of your onboarding journey, you're one step closer to your new ScholarPack MIS! Before your migration day, make sure you've completed your data checks. Once your data is migrated and your site is ready to use, we'll release it to your school Project Lead!
