Persistent Absence Reports

There are a few ways you can report on persistent absence, depending on what you need to see.  Go to Reporting > Reports > Attendance (tab).

1. Periodic Persistent Absences Report

What does the report display?

This report displays the students who have an attendance percentage of 90% or below by default (this can be altered down to 80% if needed) together with the students ethnicity, gender and attendance percentages.  

How do I filter this report?

When you access this report you will have the following filters; year, Key Stage, form, dynamic and static groups and the option to include former students (by default the report will only show students who are on roll). Each student who meets the percentage criteria set will be listed.  You will also have to select a date range to report on.  

Click Choose to produce your report based on these filters.

How do I order, filter or remove data?

The report will be produced in a tabular format displaying columns relating to the report title.  Simply click on the column header to order the data or select the bin icon to remove the column.

To filter this data further, each column header will have a text entry field where you can produce data only relating to that value.

2. Persistent Absences Report

What does the report display?

This report displays either authorised or unauthorised attendance codes for each student and reports on which day and session this code was given. 

How do I filter this report?

When you access this report you will have the following filters; year, Key Stage, form, dynamic and static groups and the option to include former students (by default the report will only show students who are on roll). Each student who meets the percentage criteria set will have its own individual report.

You will also have to select a date range to report on, whether you want to report on authorised or unauthorised attendance codes and what attendance percentage you would like to view.

Click Choose to produce your report based on these filters.

How do I export this data?

The information displayed can be exported as either a Word, Excel or PDF document. You can also display the report as either landscape or portrait.

Please Note: The star on the report identifies a 'favourite' report. Click the star to toggle yes or no.

Difference between the Persistent Absence Report and the Periodic Persistent absence report?

The differences between these reports are:

  • Persistent Absence - shows a break down of individual pupils with attendance code and time off only.
  • Periodic Persistent Absence - shows a table of all pupils including their Year, Form, Gender, Ethnicity, a various attendances.

 

List of Persistent Absentees

To get a list of student persistent absences go to; Reporting > Reports > Attendance (red tab) > Custom Attendance Report.

  1. Select the date range
  2. Choose from the drop down if you want to include all sessions or just AM or PM
  3. In the "Group students by" column select "Student"
  4. Set your threshold for persistent absence 

Then click "Choose"

To get the student names, enter a value of 1 in the white box under the "count" header and press enter. This will filter the report to show only those with persistent absences.
